7 Questions to Ask Before Hiring a Mobile Bar in New York

The seven questions every Long Island host should ask before booking a mobile bar — licensing, insurance, staffing ratios, and cancellation policies.

7 Questions to Ask Before Hiring a Mobile Bar in New York

Hiring a mobile bar service for your Long Island event is a meaningful investment. Before you sign a contract with any company, ask these seven questions. The answers will tell you everything you need to know about whether they're worth hiring.

1. Are your bartenders licensed and insured?

This is non-negotiable. In New York, bartenders serving alcohol at events should carry liability insurance, and many carry TIPS (Training for Intervention ProcedureS) or SERVSAFE certification for responsible alcohol service.

At STARBAR NY, every bartender is insured and TIPS certified. We carry commercial general liability coverage at every event. Ask for proof — any reputable mobile bar company will provide it without hesitation.

2. What exactly is included in your quote?

Mobile bar quotes can vary wildly depending on what's included. Always ask for an itemized breakdown:

  • Is bar setup and breakdown included?
  • Does it include glassware, ice, and garnishes?
  • Is staffing (bartenders, barbacks) included or extra?
  • Is alcohol included or is this a dry hire?
  • What's the travel fee structure for your location?

3. What's your staffing ratio for my guest count?

One bartender for 200 guests is a recipe for long lines and unhappy guests. Industry standard is one bartender per 50–75 guests for a moderate-volume event, with a barback for anything over 100 guests.

A good mobile bar company will proactively recommend the right staffing for your guest count — not understaff to pad their margin.

4. What are your space and power requirements?

A 20-foot Airstream is not the same as a folding table. Before booking, confirm:

  • How much space does the bar rig need to set up?
  • What access route does the tow vehicle need?
  • What power supply is required, and what's the fallback if outdoor power isn't available?

At STARBAR NY, we walk through all of this during consultation so there are no day-of surprises for you or your venue.

5. What's your cancellation and rescheduling policy?

Life happens. Events get postponed. Ask explicitly:

  • Is the deposit refundable if I cancel?
  • Is there a fee to move my date?
  • What happens if you have to cancel due to an emergency on your end?

Any professional mobile bar service will have a written contract with these terms clearly spelled out. Don't book without seeing the contract first.

6. Can I customize the menu and branding?

This is where mobile bars become truly special. The best companies offer more than a generic bar menu — they'll work with you to design signature cocktails, create branded signage with your drink names, and tailor the entire beverage program to your event theme.

Ask specifically: how much customization do you offer, and is it included or extra?

7. Can I see photos or references from similar events?

Any established mobile bar service in New York should have a portfolio of real event photos and ideally client references or reviews you can check. Look for events similar to yours in size and type.

STARBAR NY has served 500+ events across Long Island since 2018. Our Airstream has been the centerpiece of weddings in Huntington, corporate events in Melville, backyard parties across Nassau and Suffolk Counties, and even commercial shoots and Hollywood productions. We're happy to share photos and references on request.
