You've decided a mobile bar is exactly what your Long Island backyard party needs. Now what? Here's a complete walkthrough of what happens from the moment you reach out to us through the last cocktail of the night.
Step 1: The Inquiry
Start with our online booking form or call us at 516-241-2277. Tell us your event date, approximate guest count, location (town/neighborhood on Long Island), and what kind of event you're hosting.
We'll get back to you within 24 hours on business days to schedule a brief consultation call. This isn't a hard sell — it's a chance to understand your vision and make sure we're the right fit.
Step 2: The Consultation
On the call, we'll cover:
- Your event timeline and flow (cocktail hour, dinner, dancing)
- Guest count and alcohol preferences (beer and wine only? full open bar? signature cocktails?)
- Space logistics — where the Airstream will be positioned, access to your property
- Power requirements (more on this below)
- Any customization you want — signature drink names, garnish upgrades, branded signage
After the call, we'll send you a custom quote.
Step 3: Booking and Deposits
To hold your date, we require a deposit at signing. Long Island summers book out fast — especially June, July, and August. If you're planning a summer backyard event, we recommend booking at least 3–4 months in advance.
Step 4: Day-of Logistics — What to Prepare
Space Requirements
The Airstream is 20 feet long and needs a clear, level surface to set up on. A driveway, patio, or flat grassy area works well. We need roughly 25 feet of clearance in length and at least 10 feet of width. We'll confirm exact positioning during our pre-event walkthrough.
Access to the Property
The Airstream is towed by a truck and needs a route wide enough to pull in and maneuver. Most standard Long Island residential driveways work fine. Gates, low-hanging branches, or narrow access points should be flagged so we can plan accordingly.
Power
The Airstream requires a standard 30-amp electrical hookup (the same as an RV hookup) for lighting and equipment. Most homes have a 20-amp outdoor outlet — we carry a 20-amp adapter, which works for most setups. If your event is in a backyard without easy outdoor power access, we'll discuss options including generator rental.
Timing
We typically arrive 1.5 to 2 hours before your bar service begins to set up, stock, and stage the Airstream. By the time your guests arrive, everything is ready to go and looking great.
Step 5: During the Event
Our bartenders manage everything — drink service, replenishment, ice, garnishes. You enjoy your party. We typically check in with the host periodically to make sure the pace of service is right and nothing is needed.
We're experienced at reading the room. A cocktail hour before dinner calls for a different pace than a backyard birthday bash at 9pm.
Step 6: Breakdown
When the event ends, our team handles all breakdown and cleanup of the bar area. We leave your space clean. Depending on your event time and location, breakdown and departure typically takes 45–60 minutes after last call.
Common Questions
Can you set up inside? The Airstream is designed for outdoor use, but we can position it adjacent to an open doorway or covered area. Indoor parking garages have worked for some events, but the height clearance must be confirmed in advance (the Airstream stands about 9 feet tall).
What if it rains? We're built for outdoor events and the Airstream is fully weatherproof. For heavy rain, we recommend having a tent or covered area near the bar for guest comfort. We don't cancel for weather — we plan for it.
Do you handle permits? For standard residential backyard events, no permits are typically required. For events in public parks or commercial spaces, we'll advise you on what may be needed.
